Effective from 16 October 2026
Data controller
The controller of your personal data is Przemysław Swatowski, a sole trader operating under the business name Przemysław Swatowski Firma Handlowo-Usługowa, ul. Szpitalna 4, 72-400 Kamień Pomorski, Poland, Tax ID (NIP) 857-142-22-24, REGON 321292675 – the host of Słoneczna Przystań II in Wrzosowo.
For any matters relating to personal data, you can contact us by e-mail at przemyslawswatowski@wp.pl, by phone on +48 516 252 282 or by post at the address above.
What data we process
We process the data you give us in an online booking, via the enquiry form on the website, by e-mail or by phone:
- first name and surname,
- e-mail address and phone number,
- arrival and departure dates, number of guests and cottages, and whether you are bringing a pet,
- other details entered in the booking form (e.g. your address, where needed for a receipt or invoice) and the content of your message.
Bookings made through the online booking form are stored in the RoomAdmin booking system, which we use to manage the cottages’ calendar. Data entered in the enquiry form reaches us as an e-mail. Once a booking is confirmed, we also process the data needed to carry it out and settle it – e.g. payment details. For bookings made through Booking.com, we receive guest data from that platform.
Please do not include information in your message that is not needed for the booking – e.g. health data or ID document numbers.
Purposes and legal bases
- Replying to enquiries, preparing an offer and handling bookings – Art. 6(1)(b) GDPR: steps taken at the data subject’s request prior to entering into a contract, and then performance of the contract, i.e. your stay.
- Legal obligations – Art. 6(1)(c) GDPR: after a booking, among other things, keeping accounting and tax records and settling the local tourist tax.
- Our legitimate interests – Art. 6(1)(f) GDPR: handling correspondence not directly related to a booking, establishing, exercising or defending legal claims, and keeping the website secure.
How long we keep data
- Enquiries that did not result in a booking – up to 12 months from the last message.
- Booking-related data – for as long as needed to carry out and settle the booking. We keep accounting records for as long as tax law requires – usually 5 years from the end of the calendar year in which the tax payment deadline passed.
- Data needed to establish, exercise or defend legal claims – until those claims become time-barred.
Once these periods have ended, we delete the data.
Who we share data with
Data may be disclosed – only to the extent necessary for them to perform their tasks – to:
- the hosting provider whose servers run the website,
- the provider of the RoomAdmin online booking system (roomadmin.pl) – processes booking data on our behalf, to the extent needed to manage the calendar and handle bookings,
- the e-mail provider we use for correspondence,
- our accounting office – for bookkeeping and tax purposes,
- the bank that holds our account – for payments by bank transfer,
- Booking.com – when a booking is made through that platform; in that case Booking.com processes the data as a separate controller, in accordance with its own privacy policy,
- public authorities – only where required by law.
We do not sell data or pass it on to other companies for marketing purposes. If a service provider processes data outside the European Economic Area, this is done with the safeguards required by the GDPR – e.g. on the basis of standard contractual clauses.
Data subjects’ rights
Everyone whose data we process has the right to:
- access their data and receive a copy of it,
- rectification of their data,
- erasure of their data – where there is no longer a basis for keeping it,
- restriction of processing,
- data portability – in the cases provided for in the GDPR,
- object to processing based on our legitimate interests.
Where any data is processed on the basis of consent, that consent can be withdrawn at any time – without affecting the lawfulness of processing carried out before its withdrawal. To exercise any of these rights, simply write to us or give us a call.
You also have the right to lodge a complaint with the supervisory authority: the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland, uodo.gov.pl.
Providing data and profiling
Providing data is voluntary. However, without an e-mail address or phone number we cannot reply to your enquiry, and without the data needed for a booking we cannot accept the booking or settle your stay.
We do not make automated decisions and we do not profile guests or website visitors.
Cookies and server logs
The website does not use analytics or marketing cookies and does not store data about visitors in your browser. We do not embed any tracking tools, such as Google Analytics or the Meta Pixel.
The online booking form and the availability calendars are embedded elements of the RoomAdmin system – they load from roomadmin.pl servers, which may store cookies in your browser that are necessary for the form to work.
Fonts are loaded directly from the website’s own server, without using external services such as Google Fonts. The server may automatically record basic technical connection data in its logs (including IP address, date and time of the visit, and browser type). This data is used to keep the website secure and working properly, and is kept for a short period set by the hosting provider.
Google Maps, online booking and external links
The directions map only loads once you click the “Show map” button. Until then, the website does not connect to Google’s servers. After you click, Google receives data including your IP address and may store its own cookies in your browser – as a separate controller, in accordance with the Google Privacy Policy. Google may also process data outside the European Economic Area.
The link to Google Maps and the link to our listing on Booking.com lead to external websites – once you visit them, their own privacy and cookie policies apply.
Changes to this privacy policy
We update this policy when the law or the way the website works changes – e.g. after new features are added. The current version is always available on this page, together with the date from which it applies.
